One tidy place where your customers and jobs live

Your team keeps typing in the same places they type today.

The change is that the answer to what did we tell them last time takes four seconds, instead of a phone call to whoever is on leave. Every enquiry and every job sits under one name. Quotes already won and never followed up are usually the cheapest work in a business like yours, and this is how you stop losing them.

01

What it does to your money

Quotes get followed up on the day they were meant to be followed up.

You can see quotes out and jobs done but not yet invoiced, on one screen, which is money you have already earned and not asked for.

The June callout that is still unpaid comes up while you are on the phone with them, not at year end.

Every enquiry records how it arrived, so in three months you know which of your efforts actually brings work in and which one you can stop paying for.

02

What one place gives you

Anyone can answer

Whoever is nearest the phone sees the history and sounds like they were there for it.

Nothing sits in an inbox

An enquiry belongs to a name and a date, not to whoever happened to open it.

Leaving does not take the knowledge

When a staff member moves on, the customer history stays with the business.

You quote from what the last job cost

Prices stop being guessed from memory at nine at night.

You stop guessing where work comes from

Source is recorded on the way in, every time, without anyone remembering to log it.

03

What we set up

PieceWhat it means in practice
Your customer recordCompany, people, phone, address, and the fields your trade actually needs rather than fifty you will never fill in
Your sales stagesThe real steps you go through, named the way your team already names them
Your enquiry intakeWebsite form, WhatsApp, email and phone arriving in the same place, tagged by source
Your quote and job historyWhat was sent, and what was accepted
Reminders that fireFollow-ups with a date and an owner, so nothing depends on remembering
Your existing dataImported and deduplicated, checked with you before it goes live
04

How we do it

01

We map how you sell today

Two hours with you and whoever handles enquiries, on a screen share. We copy your process rather than impose one.

02

We choose a tool that fits your size and your budget

We are tied to no vendor and we take commission from none of them. A free tier is enough for some businesses and we will say when yours is one of them.

03

We clean and import what you already have

Your spreadsheet is the starting point, not something to apologise for.

04

We set it up and sit with your team

One session each, on their real customers, not a training video.

05

We stay close for the first month

The first month decides whether it sticks, so that is the month we sit in, cut the fields nobody fills, and fix whatever makes people reach for the old spreadsheet.

Whose account it is

The account is opened in your business name, on your billing, with you as the owner. Not ours with you invited into it.

We get a normal user login while we are working for you, granted by you, and you remove it from your own admin screen when the work is finished.

We do not hold a copy of your customer list after the import is signed off. The original file you sent us is deleted and you keep the untouched copy.

If we stopped working together tomorrow, nothing switches off. The account, the data and the documentation are already yours and there is no licence of ours in the middle.

06

When a spreadsheet is still the right answer

Ask yourself how many people need to know what happened with a customer. If the answer is only you, and you personally touch every one of them, a well built spreadsheet is cheaper and faster than anything we would sell you.

Once that answer is two or more, one shared place starts paying for itself, usually in the follow-ups nobody currently owns.

The part we spend most effort on is the handover, because a system people quietly stop opening is money wasted. We build it so it fills itself in from things your team already does, and we cut every field that does not earn its place.

If your customer list is years out of date, sorting the list out first is the cheaper order to do this in.

The numbers, in one place

  • Setup from R20,000, and most land between R20,000 and R45,000.
  • All prices exclude VAT.
  • What moves the price: how many people will use it, how many records come across and how messy they are, how many stages your sales process really has, and whether it must talk to your website, your booking system or your accounts.
  • Software licences are paid by you, direct to the vendor.
  • We take commission from no one.
  • After go-live, changes, new users and fixes are quoted per job, and you see the number before anything starts.

The next step

Send your customer spreadsheet exactly as it is, by WhatsApp to +27 73 932 6852 or to [email protected].

We look at it before we speak and tell you what a proper setup would take and what it would cost. Or call that number and book twenty minutes.

Or email [email protected]. No slides, and no invoice for the conversation.
