Nothing changes at the back door.
Same tray, same manager, same photograph of the invoice taken before it disappears. What changes is that a price above last week's is in front of somebody while you can still phone the supplier about it.
The photograph becomes lines, matched against what you ordered and posted to the right supplier in your accounts. A price that has moved, or a crate short, comes back flagged with the order next to it instead of posted quietly.

What moves the price: how many supplier formats arrive, how many sites you run, how many exceptions the agent settles instead of flagging, and how many of your systems it writes into. The number is in the proposal before anything starts. The proposal states the VAT treatment, the notice period and what happens at the end of the term.
The numbers, in one place
That is the normal case: printed, emailed, changed by hand down the side, photographed in bad light at the back door. What matters is the one it cannot read, which is flagged with the photo next to it and waits for a person.
It usually strengthens the case, because the same admin repeats at every site. It also makes the screen worth having, so you compare sites side by side instead of phoning each manager one at a time.
A reply is drafted in your voice, referring to what the guest actually said, while they still care about it. You read it and press send. A serious complaint does not get a drafted reply.
