Three versions of the same customer, turned into one

You do not have to tidy anything before you send it.

Messy is the input, and most of the work is ours. We take the duplicates and the records with no phone number and turn them into one list you can trust. You approve every merge, nothing is deleted without you seeing it, and your original file comes back untouched.

01

What it does to your money

Your promotion reaches the people who can actually buy it, instead of dying against 240 dead addresses and a bounce rate that pushes the rest into spam.

The customer who is in there three times gets one message instead of three, and stops replying to complain.

You stop paying per contact, on whatever tool you use, for records that have not been alive since 2021.

And when you price a promotion, you price it against a real number of reachable customers rather than a figure nobody in the room believes.

02

What we usually find

What is in thereWhy it costs youWhat we do about it
The same customer three times, spelled three waysYou send the same offer three times and look carelessMatch them, then merge the pairs you confirm
Company and person mixed in one fieldYou cannot address anyone properlySplit into name and company, with the role separated where it matters
Phone numbers in six formatsNothing can dial them or message themStandardise to one format that works
Dead email addressesYour sending reputation drops and real people stop receiving youVerify, quarantine, keep the record
Five spreadsheets from five peopleNobody knows which one is currentMerge into one, with the source of each row recorded
Records with no owner and no dateYou cannot tell live customers from ghostsTag by last activity so you can decide what is worth keeping
03

Start with the health report

R4,500, a one-off report rather than a monthly figure, and you get it back within three working days of sending us the file.

It says how many records you have, how many are duplicates, how many are contactable, how many have gone quiet, and which of your sources disagree with each other. Plain numbers, no jargon.

Plenty of owners read it and decide the full cleanup can wait a quarter. That is a fair outcome and it costs us the bigger job, which is exactly why the report is worth buying on its own.

If you do go ahead within thirty days, the R4,500 comes off the price of the cleanup.

04

How a cleanup runs

01

You send us what you have

All of it, in whatever state. Exports and spreadsheets, including the one on the shared drive nobody opens.

02

We produce the health report

The true state of your list, in numbers, within three working days.

03

You review the decisions

Every merge and every removal appears in a sheet with both versions side by side. You tick, we act. Anything you are unsure about stays exactly as it is.

04

We clean and reload

One list, formatted properly, back into wherever you keep your customers, with the original preserved untouched.

05

We set the rules that keep it clean

A form that will not accept a badly formatted number, and a check that warns before a duplicate is created.

05

Before and after, on a list of about three thousand rows

This is the shape of the change rather than a client's result. Your own numbers come out of the health report.

Before

Nobody trusts the count. The promotion goes out and a few hundred bounce. Two customers receive it twice and one of them replies to complain. The report you show your accountant is built by hand because the export cannot be believed.

After

A smaller list you can count on. Every mobile number in a format that can be dialled or messaged. Every record showing where it came from and when it was last active. The export is the report.

Where your list sits while we work on it

You send us a file. We do not need a login to your systems to produce the health report, and for many cleanups we never need one at all.

While we work, your list sits in a private working area set up for your project, and it is deleted when the job is signed off. We tell you in writing what we hold and for how long, before you send anything.

If reloading the clean list needs access to where you keep your customers, you grant it from your own admin screen and remove it the same way when we are done.

Send us your NDA and we sign it. If you do not have one, ask and we send a short one back the same day.

07

Keeping it clean afterwards

A cleanup with no change to how records get created goes bad again inside a year. The fix is small: one intake form instead of three, a required field where it matters, a duplicate check when a new record is added, and a warning when a mobile number does not look like one. That is part of the job, not an extra line on the invoice.

AI does part of the matching, because deciding whether Jan Botha and J Botha Plumbing are the same customer is exactly the kind of judgement it is good at proposing and bad at finalising. It proposes. You confirm.

If your list lives in five spreadsheets kept by five people, that is the normal case rather than the bad one. What we need from you is one answer: which source wins when two of them disagree.

The numbers, in one place

  • Health report: R4,500, a one-off report rather than a monthly figure, back within three working days, and credited against the cleanup if you go ahead within thirty days.
  • The cleanup itself, whether it is a single list or several sources that disagree with each other, and the intake rules that stop the mess coming back, are quoted per job, and you see the number before anything starts.
  • All prices exclude VAT.
  • What moves the price: how many records, how many separate sources have to be merged, how many duplicates turn up, and how much of the decision-making needs a human eye rather than a straight match.
  • We quote the cleanup after the report, on your actual file, so the number you get is a number rather than a range.
